What personal data we collect

When users create an account, we collect the information required to provide our services. Event Organizers may provide their name, email, mobile number, gender, country of residence, and optional details such as address or special dates. Corporate Organizers may also provide company details. Vendors provide business information such as company name, website, contact details, service categories, media uploads, and membership preferences.

We also collect technical data such as IP address, browser type, device information, and interaction logs to improve platform security and performance.

Media

If you upload images or videos to your vendor profile or event pages, you should avoid uploading media that contains embedded location data (EXIF GPS). Other users of the platform may be able to view or download such media, depending on your listing visibility.

Cookies

We use cookies to manage login sessions, store your display preferences, enhance security, and improve platform functionality. Login cookies last for two days, while screen preference cookies last for one year. Selecting “Remember Me” extends your login for two weeks. If you log out, your login cookies are removed.

We may also use cookies for analytics, fraud prevention, RFQ tracking, and personalization of vendor recommendations.

Embedded content from other websites

Who we share your data with

We share your data only when necessary to deliver our services. For example, Event Organizers sharing RFQs will have their event details shared with matched vendors. Vendors submitting quotations will have their company information shared with the Event Organizer. We also share information with third-party providers such as Stripe (for payments), SMS/Email gateways (for OTP and notifications), hosting providers, analytics services, and security tools like reCAPTCHA.

We do not sell or rent your personal data to any third party.

How long we retain your data

For registered users, we retain the personal information provided in your profile for as long as your account remains active. Transaction data, invoices, RFQs, quotations, and membership records may be kept for compliance with regulatory or financial reporting laws. Vendor uploads and listing content remain stored until deleted or replaced by the user.

What rights you have over your data

You may request an exported file of the personal data we hold about you, including any information you have provided through registration, RFQs, quotations, or account activity. You may also request that we erase your personal data, subject to legal or security retention requirements. You can edit most of your account information directly in your dashboard at any time.

Where your data is sent

Your data may be processed through automated fraud and spam detection services, payment verification systems, and security tools. RFQ-related data is shared only with selected vendors, while vendor quotation data is shared only with the requesting Event Organizer.

How we protect your data

We use password encryption, two-factor authentication for admin accounts, secure hosting infrastructure, and strict access controls to protect your data. All sensitive actions, such as vendor verification or membership changes, are logged for security and accountability.

Your consent

By registering on HatchEvent, you consent to the collection, use, and disclosure of your information as described in this policy. Consent is stored within your user account and may be withdrawn by deleting your account or contacting support.
